1. Discuss the system and the concern
Explain why you are considering cleaning and identify the systems in the building. Confirm the scope, method, exclusions, access, and price. Ask about any point you cannot match to the written proposal before authorizing work.
2. Agree on access and protection
Decide which rooms need to be available and how occupants, furnishings, and flooring will be accommodated. Ask how access points will be opened and closed and who is responsible for moving belongings. Building-specific limitations should be recorded rather than left implicit.
3. Clean the agreed components

It also emphasizes addressing the system components that need cleaning. Ask which components your particular proposal includes.
The tool choice and method must suit the material and condition. If damaged or inaccessible sections are found, stop to agree on a response. A change in scope should be explained before extra charges are accepted.
4. Review the outcome
Ask the service contact to walk through the included work, any limitations, and the completion record. Keep photographs or notes with the estimate. Confirm that access points and moved items were handled as agreed, and clarify any separate recommended follow-up.
Chemicals are a separate decision
